Billing

How to manage billing, top-ups, and invoices for your organization.

Each stub you run in Stubber requires Stubbucks — the system’s internal credit used to execute tasks and send notifications. Stubbucks are automatically deducted from your Org’s balance whenever actions are performed.

Because charges occur at the time of execution, it’s important to ensure your Org always has enough Stubbucks available. If your balance runs too low, Stubber will pause execution until additional credits are added. For a detailed breakdown of how Stubbucks work, see the Stubbucks Guide.

You can manage your organization’s balance, top-ups, and invoicing through the Billing section on the Manage platform. The page is divided into three main tabs:

Overview Tab

The Overview tab provides a snapshot of your Org’s financial activity and Stubbucks balance. From here, you can:

  • View your current Stubbucks balance in real time.
  • Add a new payment method.
  • Make a once-off Stubbucks purchase to top up your balance.
  • Enable or disable auto top-up, ensuring your Org never runs out of credits.

These features make it easy to stay on top of your usage and prevent interruptions to active workflows.

Notifications Tab

The Notifications tab allows you to set up low-balance alerts to help you manage your Stubbucks levels proactively:

  • Normal Threshold — Sends an email notification when your balance reaches a specified level.
  • Critical Threshold — Triggers both email and WhatsApp notifications when your balance drops further.
  • You can select which contacts should receive these alerts.

These thresholds help ensure your team is notified before your Org’s balance becomes too low to process requests.

Invoicing Details Tab

The Invoicing Details tab lets you manage your billing information and review payment history. Here you can:

  • Enter your legal company name, tax number, and billing contact details.
  • Specify the email recipient for invoices.
  • View and download historical invoices directly from the dashboard.

This provides a clear, auditable record of your organization’s Stubbucks transactions and usage.
